An exciting opportunity has arisen for a confident and dynamic individual to join our veterinary practice in West Wales as a Practice Administrator. All training needs will be met and you will be well supported in your career development. You will be supporting the team by ensuring that all paperwork is up to date and clients are kept informed. You might be working with the Practice Manager, completing the monthly billing, supporting insurance claims, covering reception, answering the phone or helping with general admin tasks. This is an exciting opportunity for someone with the right manner & a flexible, can-do attitude.

The candidate will work closely with the Practice Manager, Practice Administrator and the Directors. Confidentiality, discretion and office experience are essential. The ideal candidate will have excellent communication skills and maintain a well organised, efficient and professional attitude. They should be able to work independently, prioritising workload and demonstrate the ability to work under pressure in a busy environment, whilst keeping a warm and friendly welcome to staff and customers alike.

Key responsibilities include:

  • Billing through the IT system
  • Administration tasks
  • Processing pet Insurance claims
  • Responding to emails
  • Answering the telephone, when required
  • Providing cover for reception team 
  • Preparing client communications
  • Work with the entire team to:
    • solve problems swiftly
    • ensure processes and protocols are in place, understood and followed
  • Work with the vets and practice manager to ensure processes and protocols are in place, visible, understood and adhered to.

A degree of flexibility is required with regards to hours. Although the working week is based around 16-18 hours Monday to Friday, ideally half days to dovetail with the other practice administrator. 

Possible hours could be:

Monday – 1pm to 5pm 
Tuesday – 9am to 5pm
Wednesday – 9am to 3pm
A total of 18 hours.
